Change roles and centre access
Change what a teammate can do by changing their role, or give them access to another of your centres.
Purpose
Each teammate has one role, and the role decides what they can open. Change it when someone's job changes. To let someone work at another of your centres, add them there with a role for that centre.
Before you start
only the clinic Owner can change roles.
Team shows the people at the centre you're signed in to.
a role can need a seat on your plan. You can see your seats on Team under Your plan.
Steps
Step 1: Open their actions
Doin the sidebar, select Team. Under Members, select ⋯ next to the person.
You'll seeChange role with Owner (co-owner), Doctor, Front Desk and Finance. Their current role
is marked current.
Step 2: Choose the new role
Doselect the new role.
You'll seethe role next to their name changes.
Sowhat they can open now follows the new role.
when someone becomes a Doctor or Owner, they're ticked for every service on your rate
card unless they were set up at this centre before.
Step 3: Add them to another centre
Doselect Invite a member. Enter their Email and Full name, choose the other Centre and their
Role there, then select Send invite.
You'll see[name] already has an Airgent account and has been added to this centre. They can log in with
[email] right away.
Sothey keep their role here and have a separate role at the other centre.
Centre appears only when your clinic has more than one centre.
Result
You'll seethe new role next to their name under Members.
Sothe areas they can open in Settings now match the new role.
If it doesn't work
- If you see: No ⋯ next to anyoneOnly the Owner can change roles. Ask your clinic Owner.
- If you see: No ⋯ on your own rowYou can't change your own role. Ask another Owner.
- If you see: The role doesn't change, and a short error shows in the menuIf they're your only Owner, make someone else Owner (co-owner) first. Otherwise your plan may have no free seat for the new role (Request upgrade).
- If you see: Network error. Try again.Reload Team and try again
- Working: The new role shows next to their nameDone
Limits
each teammate has one role at each centre.
prescribing is separate from the role. Give or remove it with Grant prescribing or
Revoke prescribing (next guide).
to take away all access at this centre, remove them instead.
Checked against the Keel product source and in the live product on 2026-10-09. The role labels and member count on Team and the How roles work summary in Settings were observed. The Owner's member menu, changing a role, adding someone to another centre and the error messages were not exercised.
