Understand available slots
See how Keel works out which times the agents can offer for a doctor, and check each part on screen.
Purpose
When a patient asks the phone or WhatsApp agent for a time, the agent offers only times Keel has worked out as free. It never makes one up. This guide shows each part of that rule and where you can check it.
Before you start
a time is free only when it's inside the doctor's weekly hours, inside your opening hours, not
taken by time off or another booking, and long enough for the whole visit.
a doctor with no weekly hours has no free times. The agent says it can't see their calendar
and takes a message.
Steps
Step 1: Check the doctor's weekly hours
Doopen Settings, then Hours & availability, and select the doctor under EDITING.
You'll seethe doctor's sessions for each day under Weekly hours.
Sothe agent starts from these sessions, trimmed to your clinic's opening hours.
Step 2: Check time off and one-offs
Doon the same page, look under Time off & one-offs.
You'll seeentries tagged OFF, BLOCK or EXTRA.
SoOFF and BLOCK remove time. EXTRA adds time on that date. A clinic holiday removes the time for
every doctor.
Step 3: Check the day on the calendar
Doopen Calendar and go to the day. In the Doctors list, hide every other doctor so only this one is
shown.
You'll seethe doctor's appointments, hours shaded as Closed (out of hours), and any busy time from a
connected Google Calendar marked Busy · Google.
Sobooked appointments and calendar busy time are taken away too. Cancelled and no-show appointments free
their time again.
Step 4: Check the visit length
Doopen Settings, then Clinic, and find How long is a typical visit?.
You'll seethe length that's chosen, or Using Airgent’s default: 30 min.
Sothe agent offers a start time only if this whole length fits before the next booking or closed time.
start times are offered every 15 minutes, so a free 10:00 to 11:00 can show 10:15.
Result
Sothe times left after these checks are the ones the agent can offer. On WhatsApp the patient gets a
list. On a call, the agent sums them up and asks what suits.
offering a time doesn't hold it. The time is secured only when the booking is made, and two
patients can never be booked into the same time.
Limits
only future times are offered.
when a patient asks for the earliest time, the agent looks up to 14 days ahead.
if a doctor works at more than one of your centres, a time they're booked at another centre
isn't offered.
the calendar shows the inputs, not the agent's final list. A shaded-open time can still be too
short for a visit.
the desk can book outside a doctor's hours with Book anyway after a warning, and the
override is recorded. Agents never can. Nobody can double-book a doctor.
Checked against the Keel product source and in the live product on 2026-10-09. The weekly hours and time off sections, the calendar legend and Doctors list, and the typical visit length setting were observed. Imported Google busy time, booking warnings and the agent's own choice of times were not observed.
